Group notifications

Group notifications are in-app alerts and announcements that you send to one person, or to several people at the same time. People you send these group notification to receive them as either in-app notifications or SMS.

Use the following pointers to decide whether you must use an alert or a group notification. For information about configuration parameters, see:

Sending alerts

An alert can be sent as an SMS or in-app message, and can contain a URL. In an alert, the same message text is sent to the specified people.

Steps

  1. Log in to the Vymo web app.
  2. Go to Settings > Manage Users.
  3. Select the users to send the alert to.
  4. Click Alert and choose the type of alert, SMS or Push.
    • For SMS alerts, select a template. The message is displayed. You cannot change this message text.
    • For push notifications, specify a title and a message text, and include an URL if required. SMS or push notification
  5. Click Alert.

The message is sent instantly.

Sending group notifications without a call to action

With group notifications, you can send different messages to different sets of people. You upload a .xls or .xlsx file containing the messages and the IDs of the people to whom the message must be sent. The file can contain up to 399 messages. To notify more than 399 people, upload one file for every batch of 399 people.

A few things to keep in mind before you upload a file:

  • User IDs are not validated against any reporting hierarchy.
  • The messages cannot be scheduled. As soon as you upload the file, the notifications are sent out to everyone mentioned in the file.

Before you begin

Get the User IDs of the people you're sending the notification to. You can see the user IDs on the list at Settings > Manager Users.

Steps

  1. Log in to the Vymo web app.
  2. Get the upload template (Settings > Manage Users > Bulk Notification > Download Template) and save the file on your computer.notifications upload template
  3. Load the file with data. Make sure of the following things:
    • The User ID column is not empty. It's a required column, and upload fails if this column is left blank. If a more than one message must be sent to a person, create separate rows for each message text with with the same user ID.
    • The title does not exceed 50 characters.
    • The description, which is the message text, does not exceed 500 characters.
    • The sheet name is not changed.
  4. Return to the web app and click Settings > Manage Users > Bulk Notification again.
  5. Select the type of notification. This information is used only for internal analysis, and is not visible to customers.
  6. Click Select File, select the file you created, and click Upload.
  7. Wait for the file to be uploaded. When the process in over, you're shown the upload status.

If the upload process encounters an error, you get an error report that you can use to locate the error and fix it.

Sending group notifications with a call to action

  1. Prepare an upload file in the following format: notifications upload template
  2. Load the file with data. Make sure of the following things:
    • The User ID column is not empty. It's a required column, and upload fails if this column is left blank. Create separate rows for each message to be sent to each user ID.
    • The title does not exceed 50 characters.
    • The message does not exceed 500 characters.
    • The call to action (CTA) is one of the following options only: View Lead Details, View Partner Details, View Activity Details, View Calendar, View Backlog, Update State. Do not enter any other text in this column; if you do, the notifications aren't sent correctly.
    • The code is a valid Vymo code. If this field is left blank, the details or calendar that's displayed on tapping belongs to the person whose user ID is mentioned in the first column. Use the following codes:
      • View Lead Details: The lead's ID
      • View Partner Details: The partner's ID
      • View Activity Details: The activity code
      • View Calendar: The person's user ID
      • View Backlog: The person's user ID
      • Update State: The lead's ID
  3. Log in to the Vymo web app.
  4. Click Settings > Manage Users > Bulk Notification.
  5. Select the type of notification. This information is used only for internal analysis, and is not visible to customers.
  6. Click Select File, select the file you created, and click Upload.
  7. Wait for the file to be uploaded. When the process in over, you're shown the upload status.

FAQs

Can I receive notifications on the web app?
No, notifications go to only mobile devices.
Can I send notifications through the mobile app?
No, group notifications can be sent only through the web app.
Who can send group notifications?
Administrators.
Can I send a notification to a team member who is not using the Vymo app?
No. The person must be a registered user of the Vymo app to receive notifications.
What happens if someone's phone is offline when the group notification was sent?
The message is delivered when the app comes back online. The message is also available on the Notification screen in the app.
Can I change the text of notifications?
For SMS alerts, no. For push alerts, yes. For group notifications, yes. For standard notifications, no.
