Syncing the Microsoft Outlook calendar with Vymo

Vymo allows you to synchronize events from your calendar services with the Vymo calendar. This integration enables you to view activities associated with events where you, or any of your leads or partners, are present. Here's how to integrate your Microsoft Outlook calendar with Vymo for seamless two-way synchronization.

Syncing Criteria

Vymo ensures focused synchronization based on the following criteria:

  • Event Organizer: Sync is limited to events where you are the organizer.

  • Updates: Changes made in Vymo are reflected in your Microsoft Outlook calendar, and vice versa.

  • Deletions: Events deleted in Microsoft Outlook appear as 'Cancelled' in Vymo.

  • Modifications: Changes to event descriptions, titles, or participants in Microsoft Outlook are updated in Vymo.

Please note that post-event modifications are restricted, and edits can only be made within the platform where the activity was originally created.

  • Microsoft Outlook: Activities created here must be edited in Outlook.

  • Vymo: Activities created in Vymo must be edited in Vymo.

If you integrate your Vymo account with your Microsoft Outlook calendar, there is sync between your Microsoft Outlook calendar and your Vymo calendar. Then, you can view activities associated with an event where you, or any of your leads or partners, are present.

Only Vymo-related activities are synced

Vymo syncs only those Microsoft Outlook calendar events where you're the organizer. Other events aren't synced.

When the calendar events are synced, this is what happens:

  • Any changes in your Vymo calendar is updated in the Microsoft Outlook calendar.
  • Existing calendar events, when they're rescheduled or updated in the Microsoft Outlook calendar, are updated on the Vymo app as well.
  • Deleted events in the Microsoft Outlook calendar are updated on the Vymo app as Cancelled.
  • If the description, title, or participants of the event are modified in the Microsoft Outlook calendar, the information is updated in the Vymo app also.

After an event is completed, it can't be modified. Additionally, you can only make edits to the calendar activity where it is created. For example, if you scheduled a call with a lead on your Microsoft Outlook calendar, you can make changes to that activity only on Microsoft Outlook, not your Vymo calendar. Similarly, if you create an activity in your Vymo calendar, you can make edits only in Vymo and not in your Microsoft Outlook calendar.

Connecting your Microsoft Outlook account to Vymo

After the Microsoft Outlook calendar integration is enabled for your company, connect your Vymo account to it.

  1. Log in to the Vymo web app and click your user name in the upper-right corner of the screen.
  2. To connect Microsoft Outlook calendar to Vymo, turn on the Office 365 toggle.
  3. Follow the on-screen prompts to allow the Vymo app to access your Microsoft Outlook calendar.

Microsoft Outlook calendar is now connected to your Vymo account.

Connecting your Microsoft Outlook calendar to Vymo on your phone

To connect Microsoft Outlook calendar to your Vymo account on the phone app, use the following steps:

  1. Tap the hamburger icon (three horizontal lines near the bottom right) and tap Settings.
  2. In the Integrated Accounts section, turn on the Office 365 Suite. If you don't see this option, it means the Microsoft Outlook calendar isn't enabled for your company.
  3. Follow the on-screen prompts to allow the Vymo app to access your Microsoft Outlook calendar.

Your Microsoft Outlook calendar is now connected to your Vymo account, and you can see the following calendar events with leads and partners :

  • All the past or ongoing Microsoft Outlook calendar events in the Vymo app are shown with a red mark.
  • All the future Microsoft Outlook calendar events in the Vymo app are shown in Activities list in Leads or Partners.
  • Latest or upcoming Microsoft Outlook calendar events are shown on the Home Page under Outlook Event Title.
  • All calendar events where you're an assignee are shown in Calendar.
  • If an event overlaps in both the Microsoft Outlook calendar and the Vymo calendar, you are prompted to confirm. On your confirmation, the first detected or logged activity is attached to the corresponding the Microsoft Outlook calendar event. If you don't confirm it, you're prompted to confirm subsequent detects or logged activities, so that they can be attached to the event.
  • If your Microsoft Outlook calendar event has an associated location, it's synced with the Vymo calendar also. However, if multiple events are associated, only the first location is attached. The location can't be modified after the event is completed.
  • If an event is due, you are notified 30–35 minutes in advance. You are also notified if no meeting or event is scheduled for the day.

Disconnecting your Microsoft Outlook calendar from Vymo

After your Microsoft Outlook calendar is connected with your Vymo user ID, it remains connected even after the Vymo app in uninstalled or after you log out of the app.

To remove the connection:

  1. Tap the hamburger icon (three horizontal lines near the bottom right) and tap Settings.
  2. In the Integrated Accounts section, turn off the Office 365 Suite toggle :material-toggle-switch-off-outline:, so that the color changes to grey .

Your the Microsoft Outlook calendar is no longer connected to your Vymo account. New calendar events will no longer be displayed in Vymo, but you can still see the older calendar events.
